Put the whole evening on one itinerary.
Build the schedule around the time students need to arrive for admission, which may be earlier than the event's advertised start. Keep optional stops separate from confirmed plans. Include:
- The initial meeting point and proposed photo stops.
- Dinner reservation, event venue and appointment times.
- Venue instructions for group loading and arrival.
- Final drop-off locations and the planned return schedule.
Choose one organizer for the group.
Identify the parent, guardian or authorized school representative who will discuss the booking and coordinate information. Provide a contact who can be reached during the event and agree on how changes will be communicated. If chaperones will travel, include them in the passenger total. A shared itinerary helps families understand where students are expected to board, where the vehicle will take them and when the group plans to return.
Match the vehicle to the people traveling.
Send the full headcount, including accompanying adults, and describe accessibility needs or belongings the group expects to bring. Ask for the proposed vehicle's seating and features rather than choosing from a generic party-bus description. Discuss food, beverage, conduct and decoration policies before making plans that depend on them. If the school is arranging transportation, provide its vendor documentation and approval requirements at the beginning of the request.
Make the return just as clear as arrival.
Give families a clear return plan before they rely on the arrangements. School admission, event tickets and supervision are separate items to resolve with the organizers. Confirm the following in writing:
- Event closing time and the meeting point afterward.
- A single return location or the agreed sequence of drop-offs.
- How waiting time, itinerary changes and passenger updates are handled.
- The vehicle, payment terms, cancellation conditions and full transportation scope.
Questions about prom & homecoming transportation
Who should organize a prom transportation request?
A parent, guardian or authorized school representative should coordinate the group and review the arrangements. Identify the person responsible for the booking and the contact available during the evening.
Can the itinerary include dinner and photos?
Include each proposed stop, address and appointment time in the original request. Venue access and the complete schedule need to be reviewed before those stops become part of the confirmed itinerary.
Are chaperones included in the passenger count?
Yes. Count every person who will travel. Discuss the group's supervision requirements and who will provide chaperones; transportation should not be assumed to include event supervision.
Can we request a school-approved vehicle or vendor?
Share the school's exact requirements and approval process. Request current supporting documents and confirmation before describing the charter as approved by the school or district.
