Build the day around your group’s purpose.
A class visiting museums, an association attending a conference and a family planning a sightseeing day need different transportation plans. Start with the activities and any fixed appointment times, then identify the passenger movements between them. Include your starting hotel or meeting point, the places you want to visit and where the day ends. Keep admission arrangements, guide services and transportation clearly identified when organizing the complete experience.
- Educational visits: count teachers and chaperones with students.
- Events: identify registration, meeting and dinner arrival times.
- Sightseeing: list proposed stops and time at each destination.
Give hotel and airport arrivals separate attention.
If your group is arriving from outside the region, distinguish the airport transfer from the transportation needed during the visit. Share flight details for DCA, IAD or BWI, luggage estimates and the hotel destination. For a conference with travelers staying in several hotels, list the expected passengers at each pickup. Keeping these movements separate makes it easier to review the whole request without overlooking an arrival, departure or return trip.
Connect the city visit to the full journey.
Your DC itinerary may begin in Southern Maryland or Northern Virginia, or form part of a longer group tour. Include the complete route when requesting a quote, not just the time spent in the city. Explain whether the group travels together throughout the day or needs separate movements. Final meeting instructions and timing should be agreed for your particular visit, with one coordinator responsible for sharing the plan with travelers.
Request the vehicle your visit calls for.
Choose a vehicle by considering passengers, bags, equipment and accessibility requests together. A group arriving with overnight luggage may need a different arrangement from the same number of people making a local outing. Describe requested amenities when you inquire and ask for the specifications of the vehicle proposed for your trip. Review the route, service scope and quote inclusions before treating the transportation portion of your DC visit as confirmed.
Questions before you go
Can we request transportation for a custom DC itinerary?
Yes. Provide your proposed stops, dates, passenger count, starting location and return plans. Include timed reservations or appointments so the full itinerary can be reviewed.
Does a DC charter include sightseeing admission or a guide?
Confirm those arrangements separately unless they are explicitly included in your proposal. A transportation request by itself does not include attraction tickets or guided touring.
Can our DC trip begin outside the city?
Include your proposed pickup in Southern Maryland, Northern Virginia or another location. The route, schedule and vehicle availability need to be reviewed as a complete journey.
